Travel & Lodging

The July 2018 CIT Program will be held Wednesday July 18 and Thursday July 19, 2018 at the InterContinental Kansas City at the Plaza Hotel at 401 Ward Parkway in Kansas City, Missouri.

Important Information about Lodging and Attending the CIT Program

EPA Headquarters will cover lodging for all EPA Superfund Community Involvement Coordinators (CIC). All EPA Superfund CICs must stay at the InterContinental Kansas City at the Plaza Hotel or Holiday Inn Country Club Plaza in order for EPA Headquarters to cover your lodging. If an EPA Superfund CIC designated to have their lodging covered by EPA Headquarters selects to stay at another hotel, your program and/or regional office is responsible for covering your lodging expenses.

For EPA Superfund CICs whose lodging is covered by EPA Headquarters there is no cross funding code necessary for your TA. You will simply enter $0.00 in the lodging section of your TA for each night of your stay.

The available nights that EPA Headquarters pays for EPA CIC's lodging are from the night of Monday, July 16, 2018 through the night of Thursday, July 19, 2018.

Friday, July 20, 2018 should be considered the travel day to return home for all Federal Government participants.

Lodging and travel expenses for all other EPA attendees as well as federal, state, tribal and community attendees will not be covered by EPA Headquarters.

EPA Attendees Only: For those EPA participants traveling to attend the CIT Program, you will need to include a copy of an EPA's SF-182 memo that approves the use of training account codes to cover lodging and per diem expenses for the upcoming training program in your travel voucher in Concur. Please work with your regional training coordinator to complete an SF-182 training form, or a copy of a group SF-182 training form for your region as an attachment in your Travel Authorization or Voucher in Concur. An SF-182 training form must be submitted to your regional training office and approved by the training office prior to travel; so please make sure you have that form submitted to the training office before June 15, 2018 to allow adequate time for approval.

Travel Authorization (TA) and Project Code

Completing Your TA: Download the How to Complete Your Travel Authorization document to obtain information on completing your TA.

Please note, for those on the EPA Master Account EPA Headquarters covers lodging expenses directly with the hotel. No cross funding code is needed for your TA. You should simply enter $0.00 in the lodging section of your TA for each night of your stay.

Entering the CIT Program Project Code: The project code for the July 2018 CIT Program is MM757205. All EPA participants must follow the directions in the document to enter the project code in your TA/travel voucher.

To enter or edit the site-specific project code in Concur, please follow the directions below:

  • The project code is entered into the SITE PROJECT field under the Accounting Tab of Concur.
  • If you have already prepared your TA or voucher, you will need to edit and amend it.
    • Open your voucher and select the Accounting Tab
    • Select the Edit icon for the voucher you need to edit
    • Enter the project code in the SITE PROJECT field.

SF-182 Form

Please visit http://intranet.epa.gov/oarm/Forms.html and search for the form by entering "182" or "training" in the search field.

Please download the Instructions for Completing an SF-182 document to assist you in completing your SF-182. You may also download the CIT OHR memo from this page to attach to your SF-182.

Please check with your local training coordinator before preparing an SF-182. Some training coordinators may be able to prepare a group SF-182 for your region or program office.

An SF-182 training form must be submitted to your regional training office and approved by the training office prior to travel; so please make sure you have that form submitted to the training office before June 15, 2018 to allow adequate time for approval.

Schedule of Events

Onsite check-in for the Training Program will begin at 2:00 p.m. Central time on Monday, July 16, 2018 and will continue Tuesday through Thursday beginning at 7:15 a.m. Central time each day. Onsite check-in will be at the InterContinental hotel.

Hotel Information

The training program will be held at the InterContinental Hotel. The room blocks at the InterContinental and Holiday Inn are now both closed. If you still need a sleeping room, please contact Jodi McCarty at jodi.mccarty@icf.com.

You are responsible for cancelling your hotel reservation at the InterContinental if you cannot attend. The InterContinental requires a notice of cancellation 48 hours prior to your date of arrival. If you fail to provide notice, one night's lodging and tax will be charged to your credit card.

Hotel check-in begins after 4:00 p.m. and check-out time is at 11:00 a.m. The InterContinental offers the following amenities:

  • Complimentary wireless internet in all guest rooms
  • Complimentary overnight parking for hotel guests
  • Complimentary daily parking for local attendees and volunteers

An additional block of rooms was reserved at the Holiday Inn Country Club Plaza hotel, located about 0.7 miles from the InterContinental hotel. This room block is closed. The deadline to make your reservation at the Holiday Inn was by 5:00 p.m. Central time on Monday, July 2, 2018.

You are responsible for cancelling your hotel reservation at the Holiday Inn if you cannot attend. The Holiday Inn requires a notice of cancellation by 6:00 p.m. Central time, the day prior to arrival. If you fail to provide notice, one night's lodging and tax will be charged to your credit card.

Hotel check-in begins after 3:00 p.m. and check-out time is at 12:00 p.m.

The Holiday Inn offers the following amenities:

  • Room rate includes a full breakfast buffet or made to order breakfast from hotel menu
  • Complimentary wireless internet in all guest rooms
  • Complimentary 24-hour business center access
  • Complimentary covered parking for overnight guests
  • Complimentary fitness center and outdoor pool

Getting to Kansas City, MO

The Kansas City area is served by the Kansas City International Airport (MCI). MCI is located approximately 25 miles from downtown Kansas City, Missouri. Additional information for MCI is available at www.flykci.com. Kansas City, Missouri is located in the Central Time Zone.

SuperShuttle: SuperShuttle provides transportation from MCI to both the Intercontinental and the Holiday Inn. The blue SuperShuttle vans are located outside of baggage claim at each Terminal. Reservations are recommended from the airport and can be made by calling (800) 258-3826. One-way fare between MCI and either hotel is $16.50. Additional information about SuperShuttle is available at supershuttle.com.

Taxi: Taxi fare between MCI and either hotel is approximately $60 each way, not including gratuity.

Parking at the Intercontinental: The Intercontinental is offering complimentary self-parking for overnight guests as well as daily parkers including local attendees and volunteers. Valet parking is also available for $22 per night with in and out privileges.

Parking at the Holiday Inn: The Holiday Inn is offering complimentary covered parking for overnight guests. The Holiday Inn is also offering a complimentary shuttle to take participants to and from the Intercontinental.

Union Station Depot, serving Amtrak's Kansas City Rail line (KCY), is located approximately 4 miles from the Intercontinental and Holiday Inn. Visit Amtrak Kansas City.
